Ed5 is an AI-powered B2B School Management System (SMS) and Learning Management Platform (LMS) designed to help K–12 schools digitize academic and administrative operations through a unified, role-based experience. The platform connects administrators, teachers, students, and parents in a single ecosystem while leveraging AI to automate repetitive tasks, personalize learning, and enable data-driven decision-making. The redesign focused on simplifying complex school workflows through clearer information architecture, intuitive navigation, and seamless integration of AI-powered features such as Curriculum Planner, Assessment Generator, Personalized Remedials, and Teaching Recommendations.

The Impact

The redesign transformed Ed5 into an AI-first, role-based platform that streamlined everyday academic and administrative workflows. By improving information hierarchy, simplifying navigation, and surfacing contextual insights, users could quickly access critical information, manage school operations, and make informed decisions with greater confidence. AI-powered capabilities—including Curriculum Planner, Assessment Generator, Personalized Remedials, and Teaching Recommendations—were seamlessly embedded into key workflows, reducing manual effort, accelerating decision-making, and enabling personalized learning experiences that improved both educator productivity and student outcomes.

Managing everyday school workflows felt unnecessarily difficult

The existing platform lacked intelligent workflows and relied heavily on manual administrative tasks. Teachers spent significant time creating assessments, planning curricula, tracking student performance, and identifying learning gaps, while administrators struggled with fragmented data and reporting. The absence of AI-driven insights made personalized learning and proactive academic planning difficult to achieve at scale.

Research

Discovering the challenges behind school management

To better understand operational challenges across the platform, I conducted user interviews and workflow analysis with school administrators, teachers, and academic coordinators. The research focused on how users managed daily academic and administrative tasks, navigated the system, tracked student performance, and identified opportunities where AI could simplify repetitive workflows and improve decision-making.

What we learned

Through user interviews and workflow analysis, I identified recurring patterns in how administrators, teachers, and academic coordinators managed daily academic and administrative tasks. The biggest challenge wasn't the complexity of school management—it was the fragmented experience and reliance on manual processes. Users frequently switched between multiple modules to manage attendance, student records, assessments, communication, and performance tracking, making routine tasks slower and more cognitively demanding. Educators also spent considerable time manually planning curricula, creating assessments, analyzing student performance, and identifying learners who required remedial support. The lack of AI-driven insights and contextual guidance made it difficult to make informed decisions quickly, limiting opportunities for personalized learning and reducing time that could be spent on teaching.

Users frequently switched between multiple modules to review student performance, manage attendance, create assessments, plan curricula, and communicate with stakeholders before they could confidently take action. Similar visual hierarchy across the interface made it difficult to quickly identify priorities, while the absence of AI-powered insights required educators to manually analyze learning gaps, plan curricula, and identify students who needed personalized remedial support. This increased cognitive load, slowed decision-making, and reduced the time educators could dedicate to teaching and improving student outcomes.

Before moving into high-fidelity designs, I validated key user journeys using low-fidelity wireframes and paper prototypes. These rapid iterations helped evaluate navigation patterns, information hierarchy, and role-based workflows across administrators, teachers, students, and parents before investing in polished UI. Early usability sessions uncovered friction in everyday tasks such as attendance management, curriculum planning, assessment creation, student performance tracking, and communication. This project reinforced that the success of an AI-powered education platform isn't defined by the complexity of its features, but by how clearly information is presented and how naturally intelligence supports everyday workflows. Throughout the redesign, I explored how information hierarchy, role-based experiences, contextual guidance, and AI-driven insights could simplify academic and administrative tasks for administrators, teachers, students, and parents.
